What we collect
- What you type into a form: your name, email, phone if you give it, and your message. Depending on the form, also the address of your home (home value), the homes and the day you would like to see them (tour request), or the guide you downloaded.
- Where your request came from: the page you were on when you sent it, and how you first reached the site, such as a search engine, one of our videos or another website. It travels with your request so we know what you were reading.
- If you create an account: your name, your sign-in email, and the homes and searches you save.
- The date you contacted us, and the date of any later inquiry.
- Your device's internet address (IP address), which our website host, Cloudflare, receives with every visit so it can deliver pages, keep the site secure and protect the forms from spam. We do not use it to identify you.
- How the site is used, measured by Google Analytics: which pages are visited, how visitors arrived and what kinds of devices they use. We look at it in totals to improve the site and do not use it to identify you. Google may combine it with information from people signed in to their Google accounts, under Google's own privacy policy, and you can manage that in your Google account settings.
- If you describe the home you want in the search box, what you type is turned into search filters by an AI service run by Cloudflare. It is not used to train AI models, and neither Cloudflare nor we keep it once the filters are made. If you save the search, we keep the filters, not your words. If you use the microphone, your browser or device maker turns your speech into text first, and the site receives only the text.
- A few small files stored in your browser, described below.
- We never ask for or store payment information.
Small files stored in your browser
The site keeps a few small files, called cookies, in your browser so its features work and so we can count visits. We do not use any of them for advertising.
- When you sign in: one while you enter your sign-in code, for 15 minutes, then two that keep you signed in for 90 days.
- When you download a guide: one that keeps that set of guides open to you for 30 days.
- When you first arrive: a note of how you reached the site, kept for 90 days, so it can travel with a request you send.
- On listing pages: a count of the listings you have viewed, so the site knows when to invite you to create an account, and a random number, kept for a year, used when the site tells REALTOR.ca that a listing was viewed. That number is not linked to your name, your email or your account.
- On the home value page: the address you type in the first box, carried to the form on the same page and deleted once it is used.
- Google Analytics: three that count visits and tell a returning visitor from a new one, kept for up to two years (some browsers keep them for about 13 months).
You can clear these at any time in your browser's settings. Clearing them signs you out.
Why we use it
- To reply to your message, prepare your evaluation, arrange your tour, or give you the guide you asked for, and to follow up with you about that request.
- To keep your account and your saved homes and searches working.
- For six months after you contact us, to send you emails and texts with guides and market updates. You can unsubscribe at any time.
- After you ask for something, to follow up with you for up to six months from your most recent request, including related guides and market updates. Every email carries an unsubscribe link, and you can reply STOP to any text.
- To see which pages people find useful, so the site keeps improving.
- If you become a client, to meet the record-keeping and identity rules that apply to real estate transactions.
Your choices
- Sending a form means you agree to the use described on that form and in this policy. Nothing more is assumed.
- You can unsubscribe at any time using the link in any email, by replying STOP to a text, or by contacting Kiel or Travis. Unsubscribe requests take effect within 10 business days.
- You can close your account, or ask us to delete your information, at any time, apart from records the law requires us to keep.
Who sees your information
- Kiel and Travis. Your information is never sold, rented or shared with anyone for their own marketing.
- Service providers that store or handle it for us and use it only to provide their service: Follow Up Boss (our contact system, including texting), Cloudflare (website hosting, accounts, form security and the search assistant), Resend (the emails the site sends: sign-in codes and listing alerts), Google Workspace (email) and Google Analytics (site statistics). Some of them store information outside Canada, including in the United States, where it may be subject to the laws of that country.
- REALTOR.ca, which receives a record each time a listing on this site is viewed, with the random number described above and never your name or contact details. This is how the listing's brokerage sees how many people looked at it.
- If you become a client: Royal LePage Nanaimo Realty, our brokerage, keeps the transaction records the law requires, and information goes to the people needed to complete your purchase or sale (the other brokerage, your lawyer or notary, your lender) with your direction.
- Anyone the law requires us to disclose it to.
How long we keep it
We keep your information for as long as it helps us answer your questions and work with you, and we remove it whenever you ask, apart from records the law requires us to keep. Client transaction records are kept by the brokerage for the period the law sets.
How we protect it
Your information is kept in password-protected accounts that only Kiel and Travis can open, and our contact system and email both use two-step sign-in.
Seeing and correcting your information
You can ask for a copy of the personal information we hold about you, how it has been used, and who it has been shared with, and you can ask us to correct it. Contact Kiel or Travis and we will respond within 30 days.
Concerns
If you have a concern, please contact Kiel or Travis first.
Listing information
Listings on this site come from The Canadian Real Estate Association's data feed and describe properties, not visitors. How listing content may be used is set out in the terms of use.
